Why plan your content
Planning ahead keeps your feed consistent, gives every post a purpose and frees your team from deciding what to publish each morning. It also makes it far easier to see what is working, because you can compare similar posts week after week.
Start with goals and audience
Decide what social media should do for the business this month — build awareness, drive website visits, generate enquiries or support existing customers. Then be specific about who you are talking to:
- Who they are and what they care about.
- The questions they ask before they buy.
- Where they spend their time — Instagram, LinkedIn, Facebook or YouTube.
Choose three or four content pillars
Pillars are the recurring themes your posts return to. They keep the feed varied without it becoming random.
- Educate — tips, how-tos and answers to common questions.
- Show your work — projects, results and before-and-afters.
- Behind the scenes — your team, process and values.
- Offers — launches, events and clear calls to action.
Tip: most posts should help or interest your audience. Keep direct promotion to a smaller share of the plan so people keep paying attention when you do sell.
Match formats to each platform
The same idea can be shaped differently for each platform:
| Platform | Formats that suit it |
|---|---|
| Reels, carousels and Stories | |
| Text posts with a clear point of view, document carousels, short video | |
| Video, community posts and events | |
| YouTube | Longer how-to videos and Shorts |
You don’t need to be everywhere. Two platforms done well will do more for you than five done occasionally.
Build a simple weekly rhythm
A repeatable week is easier to fill and easier for your audience to recognise. For example:
| Day | Post | Pillar |
|---|---|---|
| Monday | A carousel answering a common question | Educate |
| Wednesday | A recent project or result | Show your work |
| Friday | A short video from the team | Behind the scenes |
| Through the week | Stories — polls, questions and reposts | All |
Repeat the rhythm for four weeks, then give every slot a specific idea, caption and visual.
Batch, schedule and review
- Batch create. Write captions and design posts for the week — or the whole month — in one focused session.
- Schedule ahead with a scheduling tool, so publishing never depends on someone remembering.
- Engage every day. Reply to comments and messages; conversations are part of the plan, not an extra.
- Review monthly. Look at reach, saves, shares, profile visits and enquiries. Keep what works, drop what doesn’t, and plan the next month.
Avoid: judging content on likes alone. Saves, shares and enquiries tell you far more about whether you are reaching the right people.
